SMS Notifications — Optional Opt-in

This is voluntary. You are NOT required to consent to SMS messages to be hired, to receive your work assignments, to be paid, or to use any other HHSG service. Employees who decline SMS receive the same shift assignments through their existing phone calls and email channels. You may also opt out at any time later by replying STOP to any HHSG text — your employment is unaffected.

Record-keeping notice: If you do choose to opt in, your submission is recorded in our HIPAA-compliant employment system (Microsoft 365 tenant under a Business Associate Agreement) along with the timestamp, your IP address, and the exact version of the SMS Terms you agreed to. Records are retained for 7 years for TCPA / 10DLC compliance. Phone numbers and consent data are never sold, shared, rented, or traded with any third party for marketing purposes — see our Privacy Policy.

This section is optional. Skipping it does not affect your application, hiring, or employment.

SMS opt-in is optional. You can skip this section and complete onboarding normally; HHSG will use phone and email for all required communications.

How the actual opt-in works

Opting in to SMS is entirely optional. HHSG never conditions hiring, scheduling, payroll, benefits, or any other service on consenting to text messages. Employees who decline SMS are managed identically through phone calls and email by their assigned HHSG coordinator.

  1. Candidate is in active hiring discussion with an HHSG coordinator (separate channel — phone or email).
  2. Coordinator opens the candidate's record inside the HHSG Employee Manager (private internal app).
  3. The candidate is shown an optional "Communication preferences" section of the onboarding packet. They are free to skip it; the packet has a clearly-labeled "Skip — I prefer phone/email only" button alongside the SMS opt-in button.
  4. If the candidate chooses to opt in, they enter their mobile number and check the unchecked consent box. The Opt-in button activates only after the box is checked.
  5. The system records the consent with a UTC timestamp, the IP address of the device used, and a copy of the SMS Terms version the candidate accepted.
  6. The candidate completes the remaining onboarding sections (background-check authorization, licensure verification) and signs. These steps proceed identically whether or not the candidate opted in to SMS.
  7. Only IF the candidate opted in AND is added to the active staff roster does HHSG send the first welcome SMS, which itself includes "Reply STOP to opt out".

Records of every consent (full name, phone, timestamp, IP, Terms version) are retained for 7 years inside the HHSG Employee Manager — a HIPAA-compliant Microsoft 365 tenant under a Business Associate Agreement. No mobile number, SMS opt-in data, or consent record is ever shared, sold, rented, or traded with third parties or affiliates for any purpose, in accordance with our published SMS Terms.
